Job Title: Coordinator, Business & Legal Affairs & Contract Administration
 

A Little Bit About Our Team: 
This role reports directly to the Business & Legal Affairs leadership team
, providing comprehensive support across Business & Legal Affairs and Contract Administration. Our team serves as a critical bridge between legal operations, label management, A&R Administration, Licensing, and Royalties. We oversee the review and vetting of audio/video releases, maintain side artist clearances, manage third-party licensing requests, and handle administrative and legal workflows in a fast-paced environment.

 

Here You’ll Get To:

  • Contract Administration & Licensing:

    • Process, track, and clear incoming promotional clearance requests across active catalog releases, samplers, TV shows, and artwork, including drafting gratis licenses and no-objection letters.

    • Obtain internal and management approvals for third-party soundtrack and compilation licensing requests.

    • Research, maintain, and update side-artist clearance logs and legal records, including setting up and advising on market share splits 

  • Legal Operations & Rights Research:

    • Conduct contractual research regarding rights, restrictions, litigation, and licensing inquiries across various internal departments.

    • Review audio/video content for potential trademark, copyright, or SoundExchange conflict issues.

    • Prepare, send, and track execution-ready contract copies while maintaining organized legal filing systems.

  • Executive Support & Administrative Operations:

    • Manage calendar scheduling, call logs, meetings, and travel bookings for department leadership.

    • Prepare and submit T&E expense reports.

    • Coordinate daily departmental logistics, including ordering supplies, processing mail, and assisting with special projects.


About You:

  • Education & Experience: BA/BS degree required.

  • Core Skills: Highly organized with exceptional research, proofreading, and workflow prioritization skills in high-volume environments.

  • Technical Proficiency: Strong command of Microsoft Office Suite (Outlook, Word, Excel) and comfort working with numbers, math, and spreadsheets.

  • Communication & Discretion: Professional written and verbal communication abilities; adept at handling sensitive and confidential legal information with integrity.

  • Work Style: Resourceful, self-motivated, and calm under pressure—equally capable of collaborating within a team or executing independent tasks.
     

We’d Love It If You Also Had:

  • Prior experience as a legal assistant, paralegal, or executive assistant within a media or music company.

  • Experience handling T&E, booking travel, and supporting legal/business affairs teams.

  • A strong passion for the music industry and a drive to learn label legal operations.

This position requires a minimum of 4 days per week in the office. We value in-office collaboration, which is essential for talent development and strong working relationships. #LI-Onsite Salary Range: $21.79 to $23.07 Hourly Salary ranges are included for job postings where required by law. The actual base pay is dependent upon many factors, such as work experience and business needs. The pay range is subject to change at any time dependent on a variety of internal and external factors.
