Job Title: Coordinator, Ads

A little bit about our team:

WMG Global Sync handles sync licensing for the entire Warner Music Group roster. From legacy artists such as Aretha Franklin and Led Zeppelin to young up-and-comers such as sombr and Prateek Kuhad, our unit works hard to research, clear and negotiate opportunities in film, TV, advertising, video games, mobile apps, promos, and trailers. 

Your role:

This role will require you to work closely, and under direct supervision, with all members of the advertising creative/clearance department (in addition to other department members as needed). This role will be responsible for providing executive and administrative support to the department and coordinating with all frontline labels and international affiliates as needed, which will give you access, visibility and opportunity to learn and assist with various types and levels of sync deals. This will also rapidly introduce you to a wide variety of music supervisors, music clearance specialists, artist managers, and label partners. You will also have the opportunity to independently negotiate your own deals and maintain your own relationships. This role will also work closely with other business units such as Business Affairs and Legal/Litigation. 

Here you’ll get to:

  • Spearhead administrative tasks, such as schedule domestic and international meetings, maintain department calendar items, prepare outgoing mail, and ensure the office is fully equipped and functions smoothly 

  • Welcome visitors and guests to the office

  • Work independently to prepare and update recurring internal reports, forms, tables, etc. from rough draft, handwritten notes, or verbal instructions 

  • Proofread and edit drafts and final materials for consistent formatting, accuracy of financial figures, and other data

  • Maintain and update department files, records and publications

  • Assist and participate in song pitching

  • Assist Legal by researching relevant sync activity for active litigations as requested

  • Manage and update relevant Google Chat spaces on behalf of department

  • Facilitate audio and video file research for clients

  • Maintain and update sync activity trackers and email blasts

  • Provide support when setting up showcase events

  • Facilitate internal and external e-blast notices

  • Create music themed samplers for distribution to clients

  • Enter synchronization quotes in the licensing system  

  • Coordinate ticket purchases, maintain guest lists, and liaise with venues

  • Handle and safeguard confidential and proprietary information 

About you:

  • You love music! 

  • You have working knowledge of Google Workspace (Drive, Gmail, Chat, Slides, Sheets, etc.), Canva, and Mailchimp

  • You possess a strong work ethic and a desire/ability to work well in a team dynamic

  • You are highly organized, efficient, and have great attention to detail

  • You demonstrate excellent time management skills

  • You can balance a high-volume workload, completing diverse tasks within deadlines, while maintaining good relationships with demanding clients, partners, artist representatives

  • You hold yourself accountable and are self-motivated/a self-starter

  • You demonstrate the ability to be innovative and suggest changes and improvements within scope of work

  • You are proactive, strategic, analytical and take initiative

  • You demonstrate flexibility and adaptability to changing situations   

  • You can respectively and effectively communicate (both verbally and written) internally and/or externally in a professional manner

  • You can recognize, extract and digest critical data and information

  • You can anticipate needs and create efficient solutions and effective processes

We’d love it if you also had:

  • A minimum of two (2) years of relevant creative sync experience 

  • A baccalaureate degree, preferably augmented by course work in music business and/or related fields.

This position requires a minimum of 4 days per week in the office. We value in-office collaboration, which is essential for talent development and strong working relationships. #LI-Onsite Salary Range: $20.00 to $28.00 Hourly Salary ranges are included for job postings where required by law. The actual base pay is dependent upon many factors, such as work experience and business needs. The pay range is subject to change at any time dependent on a variety of internal and external factors.
