The Role

We’re looking for a couple of detail-driven Operations & Inventory Coordinators to support the day-to-day physical operations across Universal Music Australia’s supply chains, including Wholesale, Ecommerce (D2C) and Global distribution. These roles support end-to-end physical product management from scheduling through to final delivery across local and international new releases and back catalogue titles.

These roles are both 12-month contracts, please note we have two positions available.

What You’ll Do

Supply Chain & Inventory

  • Support end-to-end management of physical product from scheduling through to final delivery
  • Maintain accurate release schedules, inventory systems, master data and stock turnaround timelines
  • Manage high-volume catalogue scheduling, stock reservations, pre-orders, consignment stock and ongoing product maintenance
  • Assist with ordering, tracking and receipting of locally manufactured and imported product
  • Support KPI delivery across catalogue accuracy, obsolescence, ordering and fulfilment
  • Contribute to departmental projects and continuous process improvement initiatives

Physical Product, Ecommerce & Distribution

  • Process and maintain physical products across UMG AU systems, including product setup and purchase orders
  • Coordinate local manufacturing and international imports, managing costs, contracts and turnaround times
  • Coordinate D2C and intercompany export orders across multiple international markets
  • Work closely with 3PL, manufacturing and distribution partners to ensure inbound accuracy and on-time delivery
  • Support merchandise inventory, reconciliation and invoicing where required
  • Maintain operational tools, schedules and documentation to support clear team communication

Global & Wholesale Support

  • Support the delivery of global physical products via international warehouse and distribution networks
  • Maintain accurate product setup across formats, bundles, exclusivities, pre-orders and release timing
  • Support stock re-ordering, range reviews, deletions, invoicing and destruction processes
  • Assist with artist, tour, promotional and sample stock ordering and delivery

Stakeholder & Team Support

  • Liaise with internal teams including Ecommerce, Sales, Labels, Manufacturing, Finance and Distribution
  • Support inventory procedures, documentation and reporting across all processes
  • Assist with supplier invoice queries and stock receipting as required

About You

  • Intermediate Excel skills
  • Excellent attention to detail with strong organisational skills
  • Strong system aptitude and ability to understand end-to-end process flows
  • Experience in physical media manufacturing or supply chain operations is an advantage
  • Strong communication and problem-solving abilities
  • Comfortable working to tight and changing deadlines in a fast-paced environment
  • Professional, customer-focused approach with internal and external partners
  • Tertiary qualification preferred but not essential
  • Background in delivery of physical and/or digital audio-visual products
