Job Description

The RCA Label Group UK is a flagship recording label of Sony Music Entertainment encompassing RCA Records, RCA Victor and Since ’93.

The company has existed since 1919 and pioneered the very first 45rpm record. The label has a history littered with legendary artists – from Elvis Presley and David Bowie to Nina Simone, Iggy Pop, Lou Reed, Harry Nilsson and Diana Ross. UK artists on RCA today include Little Mix, Bring Me The Horizon and Paloma Faith, joining US superstars such as Miley Cyrus, Lil Nas X and Beyoncé.

The Co-Presidents of RCA are Stacey Tang and Glyn Aikins and this role will provide executive assistant support to the Co-Presidents of RCA.

This role is a is a fixed term contract running from February 2025 to April 2026. This role is on site at our office in Kings Cross, London. 

What you'll do:

Relationship Management:

  • To be the first point of contact for the Co-Presidents, liaising with contacts and senior management internally and externally such as senior executives (including international colleagues) and external contacts (including artists, managers, songwriters and producers) ensuring queries/calls
  • Building and maintaining strong relationships within Sony and with external contacts, including artists.
  • Artist Liaison - including meet & greets, gifting, working with management to arrange schedules for Sony meetings and events

Extensive diary and schedule management Including:

  • Managing demanding personal and work schedules, ensuring that appropriate meetings and people are given priority.
  • Arranging meetings on behalf of the Co-Presidents, managing agendas as well as making arrangements such as accommodation, transportation and sourcing appropriate facilities
  • Ensuring that they are fully organised and prepared for any meetings and with appropriate recognition of the highly confidential nature of information managed within the role.
  • Organising and managing international travel itineraries (booking accommodation, cars and flights etc.)

Operations coordination including:

  • Create presentations for the Co-Presidents of an excellent quality, using Mac and PC - Editing of audio and visual clips to form part of these presentations.
  • Maintaining day file as well as financial and other project related files.
  • Maintaining and updating iTunes library with artist songs and demos. Working closely with A&R producers & songwriters.
  • Working closely with IT to ensure the smooth running of their computers
  • Processing expenses (KDS) for them
  • Raising purchase orders (B-Pack)
  • Meeting refreshments – ordering tea, coffee, water, arranging sandwiches etc
  • Ticketing for live TV shows and tours

Administrative Support including:

  • Taking minutes at meetings as required.
  • Supporting in set up of new senior hires in RCA, helping order equipment and sort desk spaces.
  • Managing and co-ordinating the daily correspondence and emails including responses on behalf of the President as required.
  • Managing correspondence
  • Ordering bikes/couriers
  • Direct report approvals for travel/expenses
  • Ensuring smooth running of the their offices

Who you are:

  • Previous EA experience is essential, gatekeeping and managing extensive diaries and schedules. 
  • Experience of working within a fast paced entertainment or fashion environment 
  • Experience of working with outlook, Microsoft packages (Word, Excel and Powerpoint) as well as canva.
  • Comfortable working out of hours when required e.g concerts, events or when the executives are travelling
  • Demonstrable experience being proactive and working on your own initiative, exercising good judgement on behalf of the executives
  • Knowledgeable and passionate about RCA and our roster of artists
  • Professional approach when meeting artists or management teams
  • Comfortable working with systems for invoicing and expenses.
  • You are organised, flexible, welcoming and adaptable.
  • You work with complete discretion and confidentiality.
