Job Description

Having more than 3 buildings in Kreuzberg with 16 separate floors/space units, we now have a mini NI Campus and all our spaces need to be up and running! Therefore we’re looking to fill a versatile Workplace Support position to assist with day-to-day operations and routines at the Native Instruments Berlin Headquarters. In this role you will be reporting directly to the Facility Manager.

What You'll Do

  • Ensure all office floors are open in the mornings and operational for our employees. 

  • Quality control of the workplace environment by proactively making several rotation rounds over the day to check workplace, reporting issues or defects to our Facility Manager

  • Support management and maintenance of our work spaces, office equipment and technology

  • Ensure all meeting rooms are fully equipped and operational (white boards, markers, drinking glasses, watches etc.)

  • Provide technical assistance for meetings and events and support with any setup requests. Closely cooperate with the IT Team for setting up the equipment.

  • Planning budget with Facility Manager and regularly tracking and reporting spendings (actuals vs. budget) 

  • Be the point of contact for the building management and external contractors 

  • Support the operations in our community kitchen and evaluate what missing items (e.g. food, cutlery, dishes) are also needed for the kitchens on each floor and ensure they are refilled. Receiving deliveries and allocating them to their place accordingly

  • Purchasing and restocking food and drinks, tracking and monitoring consumption and proactively proposing areas for improvement and optimization. 

  • Support storage management, keeping inventory system updated and accurate.  

  • Assisting with ad hoc projects and other duties as assigned, such as reading electricity meters, controlling other utilities (water, waste disposal etc.), covering Front desk and taking care of plants.

  • Supporting Car fleet management 

  • Taking care of and responding to facility related requests in our ticketing system

  • Sharing information, knowledge and best practices with the Workplace Team, regularly keeping records, ensuring business continuity and proper replacement when needed.

  • Working hours may be flexible due to the fact that some tasks will require to be carried out outside regular office hours.

What You'll Bring

  • At least 3 years of experience in the Facility Management as a customer or service oriented position

  • A friendly and approachable customer service attitude

  • Passion for a smooth running working environment

  • Ability to perform a variety of tasks with ease and enthusiasm to jump in where needed

  • High level of organization and excellent time management skills

  • Excellent communication and interpersonal skills

  • Fluency in german and conversational english - both written and spoken

  • Trustworthy demeanour in order to deal with personal and confidential information

  • Ability to safely lift 25 kilograms

  • Ability to interact successfully with both internal and external individuals at all levels

  • Ability to multitask, prioritize, and be flexible with changing business needs

  • Proficiency with Microsoft Office, Google Suite, and internet research

  • Drivers licence B
