Job Description

As the Coordinator, Copyright Licensing & Royalties, you will be responsible for applying for mechanical and DPD licenses, ensuring all license and payee information are loaded correctly into Concord’s royalty database, reviewing the accuracy and completeness of quarterly mechanical royalty statements, and cleaning up outstanding copyright licensing and royalty issues.

Core Responsibilities:

  • Request and obtain mechanical and DPD licenses for all Concord labels
  • Input license information into the Record Maestro (RM) system
  • Assist with the quarterly mechanical royalty statement run (as applicable)
  • Assist with inquiries (both external and internal) related to copyright royalties and act as a liaison between the royalty department and other inter-company departments
  • Perform all aspects of vendor maintenance for publishers
  • Clean up outstanding copyright licensing and royalty issues
  • Create and manage files/folders for all releases
  • Assist with special projects on an as-needed basis

Outline of Specific Functions:

  • Request and obtain licenses electronically through HFA and directly from non-HFA affiliated music publishers
  • Research recording agreements to calculate and apply mechanical royalty rates
    Negotiate mechanical licensing rates for exclusive and/or promotional product
  • Input license information into the Record Maestro (RM) system including, but not limited to, publisher information, mechanical licenses, and products
  • Research and check critical information (i.e., song splits, ownership, etc.)
  • Ensure all information entered into RM is accurate and hitting the statement correctly
  • Assist with the quarterly mechanical royalty statement run (as applicable based on check generating location)
  • Ensure mechanical royalty checks match statement amounts
  • Assemble statements, stuff envelopes, and apply proper postage for mailings
  • Assist with inquiries (both external and internal) related to copyright royalties and act as a liaison between the royalty department and other intercompany departments
  • Field inquiries from the Royalty Inquiry line
  • Assist A&R with label copy/publishing information as needed
  • Perform all aspects of vendor maintenance for publishers
  • Monitor letters of direction; update song, catalog, address and payee information in RM
  • Coordinate with finance to create new accounts and manage existing accounts in MAS500
  • Update publisher account balances for any returned checks, advances or adjustments
  • Clean up outstanding copyright licensing and royalty issues
  • Obtain licenses and remove outstanding mechanical monies from unassigned
  • Research and remove publisher accounts on hold and products in sales error report
  • Create electronic files/folders for every release that are accessible to entire royalty department
  • Monitor and update pending licensing issues on existing releases
  • Upload mechanical files/documents to OnBase.
  • Special projects may include (but are not limited to) various audit requests, identifying and researching licenses that have not been processed, and reviewing the issuance, accuracy, and clearance of payments.

Requirements:

  • At least 1 year licensing and /or royalties experience at a record label or music publishing company
  • Outstanding verbal, written and organizational skills
  • Proficiency with MS Word, MS Excel and Outlook
  • Experience with ASCAP, BMI, SESAC and eMechanical databases desirable
  • Basic algebra skills
  • Must be proactive, detail-oriented and able to handle confidential materials
  • Must be a multi-tasking individual and be patient but diligent in resolving and completing projects
  • Must be able to prioritize projects with contractual obligations and get clarification when needed
  • Able to work well under pressure
  • Must be a team player in the department and the company as a whole
  • Must be able to interact fluidly with all departments and all levels of employees
