We work with world-leading artists in unique locations — Labyrinth have brought artists and fans together for events hosted in disused Edwardian tube stations through to UNESCO World Heritage Sites; along with globally renowned venues including Camden Roundhouse, Royal Albert Hall, Wembley Arena, Old Royal Naval College and the sacred Tofte Manor.

In 2026, we will deliver around 100 events for over 250,000 attendees, including major indoor shows, festivals and the launch of new overseas projects.

What we're looking for

We’re looking for an enthusiastic and motivated Event Coordinator to support the Production Team across Labyrinth’s indoor shows and festivals.

This is a practical, entry-level role suited to someone looking to build experience in event production. You’ll help with planning, supplier coordination, documentation, and on-site delivery for Labyrinth events.

You’ll need to be proactive, well-organised, and happy to get involved wherever needed.

Some things you’ll be working on

Day to Day

  • Support the Production Team with planning and logistics across Labyrinth’s indoor shows and festivals.

  • Help update and distribute production schedules, contact lists and supplier trackers.

  • Assist with collecting and filing key documents including quotes, contracts, insurance certificates, risk assessments and method statements.

  • Research venues, suppliers, and new event locations to support technical, creative and site planning.

  • Help build and maintain production decks, event briefs and run sheets.

  • Track and file supplier quotes, invoices, and payment details to support budget management.

  • Update cost trackers in collaboration with the Head of Production..

  • Maintain accurate and up-to-date production folders, shared drives, and documentation systems.

Pre-Event Festivals

  • Assist in developing the creative and experiential production elements that shape the attendee journey — from signage to décor, activations to furniture and overall aesthetic.

  • Support the planning of infrastructure.

  • Collaborate within the Production team and with the Partnerships team to deliver high-quality branded activations.

  • Help brief suppliers and creative artist and crew accreditation, wristbands, and access control.

  • Assist with liaising between venue management, technical teams and Labyrinth staff.

  • Assist in ensuring all suppliers (sound, lighting, décor, staging, etc.) are operating on schedule.

  • Help capture production notes and feedback for post-event debriefs.

  • Maintain a professional and calm presence throughout the event, responding to instructions quickly.

On-Site - Festivals

  • Support the Production Team during the full event cycle — from build through live days to de-rig.

  • Help coordinate supplier arrivals, deliveries, and vehicle movements.

  • Manage production kit and inventory.

  • Support site-wide teams with logistics and equipment needs.

  • Monitor crew areas and welfare facilities to ensure smooth operations.

  • Assist the external health & safety and operations team in collecting documents.

  • Communicate regularly with suppliers and contractors to track progress and resolve small issues before escalation.

  • Support with de-rig and load-out, ensuring suppliers are signed off and equipment is properly accounted for.

  • Support the delivery of brand partner builds on-site, ensuring activations are executed to spec and on schedule.

Post-Event

  • Help collate supplier, freelancer and internal feedback and debrief notes.

  • Assist with reconciling budgets and updating cost trackers.

  • Support post-event wrap-up and documentation.

What we’re looking for

  • Preferably some previous experience or involvement in live events - ideally across both venues and festivals.

  • A strong interest in look-and-feel and a keen eye for aesthetics.

  • Great organisation and attention to detail.

  • Good communication skills — written and verbal.

  • Ability to work efficiently under time pressure.

  • Confidence with Google Drive, Microsoft Office, or similar tools.

  • Flexibility to work evenings, weekends, and long event days when required.

  • Self-motivation and a willingness to learn fast.

  • A driving licence is a requirement.
